The Administrative Specialist primarily provides administrative support to the CEO, Directors, and staff by managing obligations, coordinating priorities, overseeing scheduling, preparing and sending correspondence, anticipating, and resolving issues.
The Administrative Specialist will help with data/records maintenance, operational coordination, financial transactions, correspondence, office supplies and equipment maintenance, and accurate ongoing communication to staff and the public.
The Administrative Specialist will also provide office management support by assisting with scheduling of the facility and maintaining the front desk/lobby in a professional manner.
Responsibilities/Duties:
Answer incoming telephone calls and greet visitors Mastering Chamber Master Software Manage member accounts and address concerns as needed such as login issues, updating contact info, etc.
Maintain calendars for Chamber and community events/meetings Prepare digital and written communications, such as memos, emails, reports, and other correspondence Prepare and send invoices Manage and update check log and apply payments to accounts Maintain accurate records, both electronic and physical Support event scheduling and logistics at events (sometimes outside of regular business hours) Ensure visitor info stations are stocked with literature and brochures periodically Other duties as assigned Attend ribbon cutting Facilitate Chamber 101 Facilitate lunch and learn Meeting minute preparation, assemble and distribute meeting materials Skills and
Qualifications:
2 years of administrative experience, may include internships Non-profit experience is a plus Decision-making:
The Administrative Specialist has to make independent decisions on a daily basis, addressing the best way to handle specific tasks in a timely manner.
Communication and collaboration:
The Administrative Specialist must collaborate with staff and support personnel, management and clients on a regular basis.
Must be comfortable with extensive and frequent verbal and written communication.
Organizational skills:
Organization and prioritization are the core elements of the Administrative Specialist responsibilities.
You must know how to keep yourself and others organized and how to determine which tasks are the most important while accomplishing goals in a timely manner.
Professionalism:
The Administrative Specialist will act in many instances as the face of the Chamber, being the first contact when people walk through the door.
You must conduct yourself in a professional manner at all times when representing the Chamber, at the office and while in the community.
Communication to member businesses, Board members, and visitors on information from billing to upcoming events should be conducted courteously and with the utmost respect.
Lifting & Physical Requirements:
Must be able to lift 50 pounds and set-up/tear down for various events Compensation:
