Summary:
Under the direction of the Executive Director, the Executive Assistant provides responsive and complex administrative support through verbal and written communication skills, maintain multiple calendars and schedules, and provides moderate research and analysis on issues of importance to the Executive Director and Deputy Director.
The Executive Assistant acts as a liaison and point of contact for the Board of Trustees, outside agencies and stakeholders, and works on a variety of tasks and projects that contribute to the overall success of the Library's goals and initiatives.
Essential Functions:

Provides direct administrative support to the Executive Director and provides Deputy Director and Administration with support for various projects and day to day operations.
Provides general administrative support to the Board of Trustees and acts as a liaison and point of contact for the Board of Trustees, elected officials, outside agencies and community stakeholders.
Provides a consistently high level of service to others by assisting with requests, or locating appropriate resources for the request.
Prepares meeting materials, and compiles reports and statistics.
Takes professional and accurate meeting minutes, including Board Meeting Minutes.
Handles confidential information and may explain policies to customers or staff when necessary.
Schedules and organizes complex activities such as meetings, travel, conferences and department activities for the Executive Director and other Administration staff, if necessary.
Drafts general correspondences and documents, emails, memos, reports, drafts, etc.
Proofreads documents including program brochures for spelling, grammar and layout.
Creates and modifies various documents as needed.
Keeps informed of rules and laws relating to the Library Board of Trustees and the Laws of Maryland Relating to Public Libraries, issued by the Maryland State Department of Education.
Works independently and within a team on special nonrecurring and ongoing projects.
May act as project lead.
Develops and maintains appropriate filing systems, maintains contacts and vendor information.
Tracks, reconciles, and submits expense reports as necessary.
Works at different locations throughout the CCPL system as needed.
Keeps current with library and job specific developments, trends, and technologies by seeking out learning and training opportunities.
May attend meetings and participate in committees and organizations that further the Library's mission and goals.
Professionally represents the library at community and organizational events that further the Library's mission and goals.
Performs other duties as assigned.
Required Knowledge, Skills, and Abilities:

Proficient in English usage, spelling, grammar and punctuation; and basic math.
Education and Experience Requirements:
Bachelor's Degree in a related field plus 1 year of high-level administrative experience working with executive leadership performing similar duties as listed above or; Minimum of five years of high level experience supporting executive leadership in an administrative capacity without a bachelors degree.
Experience working with a Board is preferred.
Working knowledge and experience using office equipment, such as printers, fax machines, copiers, etc.
Proficiency in Google Suite, including calendars, docs, sheets, forms and slides.
Excellent time management skills and ability to prioritize work.
Demonstrated experience multitasking a variety of projects.
Demonstrated experience with business writing, editing, and communication skills.
Equivalent combination of relevant experience and training or education may be considered.
Physical and Environmental Conditions:
Work requires routine physical effort in the handling of moderately heavy materials of up to 40 pounds.
Work requires standing for long periods of time and some stooping and bending.
Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, libraries, classrooms or meeting and training rooms, e.
